What we are looking for

We are looking for a dynamic and proactive Office Manager & People Administrator to join our People team, supporting two incredible brands sharing the same office space: Mindful Chef and SimplyCook. The primary focus of this role is to foster happy and healthy teams by creating an engaging, inclusive, functional and safe office environment.

As the Office Manager & People Administrator, you will be responsible for all the office health & safety compliance whilst coordinating office events & uplifting initiatives to enhance the employee experience. You’ll also play a vital role in the People team with key administrative responsibilities, including onboarding and offboarding new starters, responding to workplace queries, managing work equipment, as well ensuring office functionality and aesthetics.

Standard hours: 8:45am - 5:45pm but subject to reasonable adjustments e.g. after hour office events.

Split: Onsite Mon-Thurs in the office & option to work from home on Friday. 

Office location: Wandsworth London with monthly travel to our Redditch office.  


You are

Skills and experience:

  • Strong organisational and multitasking skills, with the ability to work across multiple brands and projects.

  • Previous experience in an office management or similar administrative role is desirable but not essential. 

  • Excellent interpersonal and communication skills, with a natural ability to foster a positive environment.

  • A proactive approach to problem-solving and the ability to work independently.

  • Familiarity with health & safety standards and compliance requirements (training can be provided).

  • A can-do attitude with demonstrated capacity to problem solve and seek solutions, flexibly manage multiple activities, and prioritise tasks to meet deadlines.

You will

General Office Duties:

  • Main point of contact for employees, visitors, and vendors.

  • Manage office supplies, equipment, food orders, and office budgets.

  • Oversee office maintenance, repairs, and workplace needs.

  • Ensure a well-functioning and safe environment.

  • Serve as the first point of contact for employee queries about office equipment, supplies, and general workplace needs.

  • Manage office maintenance, repairs, and contracts to ensure a smooth and well-functioning environment.

Employee Engagement & Culture:

  • Organise office events and wellbeing initiatives for both London and Redditch offices.

  • Coordinate company updates, celebrations, and monthly induction meetings.

  • Promote company values and boost morale around office attendance and events.

  • Support and coordinate our Diversity & Inclusion agenda - end-to-end management of our yearly D&I initiatives: including but not limited to themed lunches, lunch & learns, educational quizzes, etc.

Health & Safety Compliance:

  • Serve as Health & Safety Officer, ensuring legal standards and best practices.

  • Conduct risk assessments, safety drills, and maintain emergency protocols.

Onboarding & Offboarding:

  • Coordinate onboarding and workspace setup for new starters.

  • Support offboarding, ensuring company property is returned and accounts are deactivated.

Administration support: 

  • Track, maintain and update training needs on all Nestle requirements

  • Coordinate and support the People team with the administration of employee benefits.

  • Troubleshoot basic IT equipment issues or liaise with internal / external parties on more complex problems.

  • Meet the Head of People: 45 minutes competency-based interview via google meet
  • Meet the CPO: 45 minutes coffee chat with the CPO in person
